HR & Payroll module
People management for the factory, the site and the office
A signage business runs on people in three places at once: fabricators on the shop floor, installers on a site three hundred kilometres away, and sales and project staff moving between the two. Attendance, shifts, leave, advances, expenses and payroll for all of them on one system, with cost landing on the right project and cost centre.
Attendance from the factory and the installation site on one payroll, costed to the project.

The problem
Payroll is a month-end scramble across registers, phones and Excel
Factory attendance is on a register, site attendance is on WhatsApp, and office attendance is nobody's job.
- 02Installers on outstation sites claim travel and food from memory, and the advance given before the trip is never fully settled.
- 03Overtime for a rush job is agreed verbally and disputed at salary time.
- 04Contract workers hired for a rollout are paid from a different sheet and never appear in the project cost.
- 05Leave balances live in a spreadsheet, so a supervisor approves leave for a week when the site is short-staffed.
- 06Appraisals happen when someone asks for a raise, not on a cycle.
- 07The owner cannot say what the installation team cost on the last retail rollout.
What it does
Hire, roster, pay and review from one employee record
The HR and payroll module covers the whole employee lifecycle: requisition and hiring, onboarding, shifts and attendance, leave, expenses and advances, payroll with statutory deductions, and appraisals. Because attendance and payroll carry the cost centre and, where configured, the project, people cost lands where the work happened.
- Job requisitions, job openings, applicants and interview stages
- Offer letters, onboarding checklists and document collection
- Employee master with department, designation, branch, grade and reporting manager
- Employee lifecycle: confirmation, transfer, promotion, separation and exit checklist
- Attendance from check-in, attendance requests and manual marking
- Geo attendance: mobile check-in with location for installers and site engineers
- Biometric device attendance for the factory gateIntegration
- Shift types, shift assignment and roster by department and branch
- Leave types, leave policies, allocation, application and approval
- Holiday lists per branch and per siteConfigured
- Payroll with salary structures, earnings, deductions and statutory components
- Income tax computation with declarations and exemptions
- Expense claims with approval and posting to project and cost centre
- Employee advances issued before site trips and settled against claims
- Overtime and additional salary components for rush jobsConfigured
- Goals, appraisal cycles and appraisal templates by role
- Employee self-service on mobile: attendance, leave, claims, salary slips
- Contract and daily-wage workers on separate salary structuresConfigured
In a signage business
The people a signage or fabrication business pays every month
- 01
Factory workers and fabricators
Shift-based attendance at the factory gate, overtime for rush dispatches, and wages posted to the factory cost centre.
- 02
Production supervisors
Attendance with the shift they supervise, leave approvals for their team, and appraisals tied to output and rework goals.
- 03
Installation teams
Mobile check-in with location at the site, travel advance before the trip, expense claim on return, and the cost posted to the project they installed.
- 04
Sales staff
Field attendance from the phone, conveyance claims per visit, and appraisal goals linked to order value and conversion.
- 05
Site engineers and project managers
Movement between sites tracked by check-in, site-wise expense claims, and timesheet-based cost to each project where configured.
- 06
Contract and daily-wage workers
Hired for a rollout on a separate salary structure and pay cycle, so their cost still appears on the project and in statutory records.
Key workflows
From requisition to salary slip
Raise a requisition and hire
A department head raises a job requisition with headcount and expected cost. Applicants move through interview stages to an offer, and the selected candidate becomes an employee record.

Onboard with a checklist
Onboarding tasks such as document collection, ID creation and induction are assigned and tracked on a board, so a new installer is not on site without paperwork.

Assign shifts and roster
Shift types are defined once; employees are assigned by department, branch or individually. The month view shows who is on which shift and who is on week-off.

Record attendance from gate, site and phone
Factory attendance comes from the biometric device (integration), site attendance from mobile check-in with location, and office attendance from check-in or manual marking. All of it lands on one attendance record per employee per day.

Handle advances and expense claims
An advance is issued before a site trip. On return, the expense claim is filed with bills attached, approved, adjusted against the advance and posted to the project and cost centre.

Run payroll
Salary structures per grade or worker type include earnings, deductions and statutory components. Payroll picks attendance, leave without pay, overtime and advances, and posts salaries to the ledger by cost centre.

Issue salary slips and tax breakup
Employees see their slip, income tax breakup and leave balance on self-service, so the accounts team stops printing and explaining slips one by one.

Business outcomes
What changes for the owner and the HR head
- Attendance from the factory, the site and the office is on one record, without registers or WhatsApp.
- Installation team cost per project is known, including advances, travel and overtime.
- Advances are settled against claims, so nothing is written off at year end.
- Overtime is recorded when it happens and is not disputed at salary time.
- Contract and daily-wage workers appear in project cost and in statutory records.
- Leave balances are current, so supervisors approve leave knowing the site plan.
- Payroll runs on a date, not on a weekend, and posts to the ledger by cost centre.
- Appraisals happen on a cycle with goals set for the role, not on demand.

People cost lands on the project and the ledger

FAQ
HR & Payroll: common questions
How do installers on outstation sites mark attendance?
Through mobile check-in with location, which is standard in the HR app. The check-in shows where and when the employee marked attendance, and the supervisor can review it before payroll.
Do we need biometric devices?
No. Biometric attendance is an integration for the factory gate if you want it. Mobile check-in, attendance requests and manual marking work without any device.
Can we run payroll for contract workers separately?
Yes. Contract and daily-wage workers are set up on their own salary structures and pay cycles, so they can be paid weekly or per job while still appearing in project cost and statutory records.
How are site expenses linked to a project?
Expense claims and advances carry the project and cost centre. When the claim is approved, the cost posts to that project in accounting.
